Microsoft Whiteboard vs OneNote: which one to use, and does OneNote have a whiteboard?

Not as a separate mode or button, but the page itself behaves like one. A OneNote page is an infinite canvas: you can click anywhere and type, draw or drop an image there, with no top-to-bottom order forced on you and no margins to run out of. With a stylus on a Surface or an iPad you get pressure-sensitive ink and handwriting that stays searchable afterwards, which is the one thing Whiteboard cannot do.

What OneNote does not have is the session furniture. There are no sticky notes as first-class objects, no live multi-cursor canvas designed for eight people at once, no timer, no voting and no facilitation controls. So OneNote is a perfectly good whiteboard for one person thinking with a pen, and a poor one for a room.

Use Whiteboard while the meeting is happening and OneNote for everything that has to survive it. That split holds up in practice because the two apps optimize for opposite things. Whiteboard throws away structure to make a live session fast: anyone can put anything anywhere, immediately. OneNote imposes structure so you can find a decision eleven months later: notebook, section, page, and a search box that reads your handwriting.

The failure mode is using one for the other's job. Teams that run sessions in OneNote end up with one person typing while everyone else watches. Teams that keep their record in Whiteboard end up with a folder of boards nobody can search, which is exactly the problem the 2026 retirement is about to make permanent for anyone who never migrated.

Yes, by hand. Draw the branches with the pen tools, or nest text boxes and connect them with drawn lines on the infinite canvas. There is no mind-map object, no auto-layout and no re-flow: move a parent node and nothing follows it, so every rearrangement is manual redrawing.

That is fine for a map with nine nodes and painful for one with forty, which is why most people who map regularly either use a real mapping tool or generate the structure first and only draw what survives. Using OneNote for brainstorming works well for exactly one stage: capture. A page per challenge, ideas typed or inked as they arrive, tags on the ones worth revisiting. It is fast, it is searchable, and it costs nothing extra.

It stops working at the two stages after that. Nothing in OneNote groups forty scattered ideas into themes, and nothing scores them against each other, so the page becomes a list that grows and never resolves. Most OneNote brainstorming templates you will find are a heading structure that reorganizes the capture step, which was never the hard part. Sometimes, and probably not on your tenant. Whiteboard has carried a Send to OneNote command, but Microsoft's own support answers describe it as available to Microsoft 365 Education tenants rather than business ones, and a long trail of user reports describes it missing or listing the wrong notebooks. Treat it as an education feature you may not have.

The reliable route is the one Microsoft documents for everyone: open the board, choose Settings in the upper right, select Export image, pick high resolution, then insert that image onto a OneNote page. It is a picture, so the text inside it is not searchable, which rather defeats the point of filing it in OneNote. It changes the timing, not the comparison. Three dates matter, all read from Microsoft 365 Message Center MC1441775. On September 25, 2026 the migration tooling for legacy enterprise whiteboards is retired, and personal Microsoft account holders lose the ability to create or edit boards. On October 16, 2026 unmigrated legacy whiteboards are permanently deleted, with no recovery. On November 30, 2026 the standalone Whiteboard desktop and mobile apps are deprecated.

Whiteboard itself is not being switched off: it continues for business and education customers inside Microsoft Teams, on OneDrive-backed storage. OneNote is not part of any of this and needs no action. Both of these are containers. Whiteboard holds ideas loosely so a room can move fast, OneNote holds them tightly so you can find them later, and neither one produces a single idea or tells you which of them is worth doing. That work still lands on whoever called the meeting.

It is worth naming because the choice between two containers absorbs a lot of attention that the actual problem does not. Open the last five boards or pages you made. If most of them hold eight or ten thin ideas and stop without a ranking or an owner, the container was never the constraint. • You are on a personal Microsoft account. You lose Whiteboard create and edit on September 25, 2026, so OneNote is the answer by default.
