Microsoft Whiteboard vs Apple Freeform: which replaces Whiteboard, and does Apple Freeform work on Windows?

Only for an all-Apple team. Freeform matches Whiteboard on the things a whiteboard is for, an infinite canvas with sticky notes, shapes, images, ink and real-time collaboration, and it beats Whiteboard on export because Apple documents a PDF export while Microsoft offers an image and nothing else. But Freeform ships only on Mac, iPad and iPhone. There is no Windows app, no Android app, and iCloud.com does not carry it, so a colleague on a ThinkPad cannot open your board at all.

That single fact settles most US business cases, because most US teams are mixed. It is worth being blunt about how the failure shows up, since it does not show up on day one. Freeform works beautifully for the two designers who both have MacBooks. Then finance joins the project, opens the share link on Windows, and there is nothing to open. At that point the board becomes a screenshot someone pastes into Teams, which is exactly the workflow you were trying to leave.

If your whole company is on Apple hardware, Freeform is a genuinely good, genuinely free replacement and you should take it. No. Apple has never shipped a Freeform app for Windows, and as of August 2026 there is still no native Windows version and no web version. Unlike Pages, Numbers and Keynote, which Apple publishes on iCloud.com and which a Windows user can open in a browser, Freeform is absent from iCloud.com entirely. iCloud for Windows syncs photos, drive files and passwords; it does not give you Freeform.

The workarounds that circulate are all worse than they sound. Running macOS in a virtual machine on a PC is against Apple's license terms for non-Apple hardware and is not something to build a team workflow on. Remote-controlling a Mac from a Windows machine works technically, but you are now paying for a Mac per Windows user, which is a strange way to save money on a whiteboard. Having the Mac owner export the board as a PDF and send it does work, and it is what most mixed teams end up doing, but a PDF is a snapshot: nobody on Windows can edit it, comment in place, or add a sticky note.

So the honest planning assumption is that Freeform is Apple-only and will stay that way. If any part of your team runs Windows, choose a tool that opens in a browser. FigJam, Miro, Mural and Lucidspark all do, and so does Brainstormer.

Yes. Freeform is included with macOS, iOS and iPadOS at no charge, there is no subscription for it, and there is no paid tier that unlocks more of it. What it does cost you, eventually, is iCloud storage, because boards sync through iCloud and count against your quota along with your photos and backups.

Apple gives every Apple Account 5 GB free. Checked against apple.com in August 2026, iCloud+ runs $0.99 a month for 50 GB, $2.99 for 200 GB, $9.99 for 2 TB, with larger tiers above that. Freeform boards are small until somebody drops video or a stack of high-resolution scans onto the canvas, at which point they are not. For a working team the 200 GB tier at $2.99 is usually the ceiling, which is still an order of magnitude below a per-seat whiteboard subscription.

Compare that with Microsoft Whiteboard, which also has no price of its own but is bundled with the Microsoft 365 license your organization already pays for. Neither product is where your whiteboarding money goes. Both let several people work on one canvas at the same time, and both show you where other people are. The difference is the identity system underneath, and that is what makes one of them workable for a company and the other one workable for a household.

Freeform shares through iCloud. You invite people, they need an Apple Account with iCloud enabled and an Apple device to open the board on, and you set whether each person can edit or only view. There is no way to send a link to somebody outside that world and have it work. Whiteboard shares through your Microsoft 365 tenant: boards sit in OneDrive, permissions follow the same sharing model as the rest of your Microsoft files, and your admins can see and govern the content.

That governance gap is the part that gets missed in a features comparison and then blocks the decision three weeks later. If your legal or IT team needs to know where a board lives, who can reach it, and how it is retained or produced in a dispute, Freeform has no answer at the level Microsoft 365 does. For a two-person studio that is fine. For a US company with a compliance function, it is usually disqualifying on its own, before anyone even raises the Windows problem.

Whiteboard as a feature is not being switched off. It continues for business and education customers inside Microsoft Teams, on OneDrive-backed storage, at no extra cost. So if your team only ever opened a whiteboard during a Teams call, you can do nothing and nothing breaks, and Freeform is a solution to a problem you do not have.

Two groups are genuinely in the market. People on personal Microsoft accounts, who lose create and edit on September 25 and are told to export by October 16. And teams who used the standalone app precisely because they did not want their thinking to live inside a meeting client. If you are in the second group and everyone is on a Mac, Freeform is a reasonable landing spot. Yes, and this is one of the few places Freeform is clearly ahead. Apple's own Freeform user guide documents exporting a board as a PDF, alongside a Send a Copy option that hands somebody the board file itself. Microsoft Whiteboard offers a single export format, an image at standard or high resolution, and no document format at all, which is why every guide to saving a Whiteboard involves printing it to PDF yourself.

Both exports share the same limitation, and it is the one that bites later: what comes out is a picture of thinking, not the thinking. Sticky note text becomes pixels in the image case and a fixed layout in the PDF case. Anything you will later need to search, sort, paste into a ticket or hand to somebody who was not there should be copied out as text while the board is still live, not archived as a file and rediscovered a year later.

That is worth doing this week rather than next month if you have legacy Whiteboard content, because after October 16, 2026 the unmigrated boards are gone and Microsoft states they cannot be recovered.

• Every person is on Apple hardware. Apple Freeform. It is free, it is already installed, it exports PDFs, and there is nothing to procure.
• Anyone runs Windows or Android. Not Freeform. Stay in Teams, which keeps working, or pick a browser-based tool.
• You only ever whiteboarded inside Teams meetings. Do nothing except check your legacy boards before October 16.

• You need admin control, retention or eDiscovery over board content. Not Freeform. Teams, or a business-tier tool with a real admin console. Miro's free plan is not it either, since guest roles start on paid tiers.

Whiteboard and Freeform are both containers, and choosing between two containers absorbs a surprising amount of a team's attention during a migration. It is worth stepping back for a second, because the container is rarely the reason your sessions disappoint.

Open the last five boards anyone on your team made.
