The box, with a reply built in
Suggestion box software that answers every suggestion
Suggestion box software is a digital place where employees submit improvement ideas and, unlike a paper box or a plain form, see what happened to them. In Brainstormer every suggestion gets a status, colleagues can vote, and each decision is recorded with who made it, when and why.
-
Suggestions linked to a clear question instead of a blank slot
-
Visible status from submitted to implemented or rejected
-
Votes from colleagues to show which ideas have support
-
A note on every decision, so rejections come with a reason
Why paper boxes and forms stop working
A suggestion box collects ideas and then goes silent. The employee drops a note in, or fills in a form that lands in a shared inbox, and never hears back. After one or two of those experiences they stop suggesting, and the box turns into a place for complaints.
The problem is not the collection step. It is everything after it: nobody can see what was submitted, nobody knows who owns the decision, and there is no record of why an idea was turned down. An online form moves the box to a browser but keeps the silence, because the answer still depends on one person remembering to write back.
Suggestion box software fixes the part that matters by making the status of every suggestion visible. If you are designing the whole HR program around it, with scope, review cadence and recognition, the employee suggestion program guide covers that side. This page is about the tool itself.
If your current suggestion box is the Employee Ideas template inside Microsoft Teams, the limits are specific: one team per environment, 2 GB of storage and deletion after 120 days without activity. The Employee Ideas app alternative page compares it with Brainstormer line by line. If your box is a Microsoft Forms survey feeding a SharePoint list, our guide to SharePoint idea management options prices each setup.

How a suggestion moves through Brainstormer
Suggestions in Brainstormer are submitted to a challenge, which gives the box a question. You can keep one standing challenge such as "What slows you down in your daily work?" and add focused ones when you need them, like "How could we make shift handovers faster?". Employees write a short idea, and AI expands it into a problem, a solution, a first step and a success measure so reviewers can judge it.
From there the suggestion moves through stages: submitted, in review, shortlisted, approved, in progress, implemented or rejected. Every change records who moved it, when, from which stage to which, and a note. The person who suggested the idea can open it in the workspace and see exactly where it stands and what the reviewer wrote.
Colleagues can vote on suggestions, which shows the reviewer which ideas have broad support. When two people suggest the same thing, AI detects the duplicate and merges them, keeping both authors and all votes, so nobody loses credit for raising it. The full flow is shown on how it works.
Closing the loop, the reply is the product
Participation in any suggestion scheme follows the evidence of what happened to the last idea. A program where every suggestion gets a decision and a reason keeps getting ideas. A program where suggestions vanish does not, whatever rewards it offers.
Brainstormer makes the reply part of the workflow rather than an extra task. A reviewer cannot reject an idea without it showing as rejected, and the stage change carries a note explaining the decision. Admins can see which suggestions have been sitting in review and move them forward, so the queue does not age quietly.
Implemented ideas stay visible with their original author, which is the most convincing message you can send to everyone deciding whether to suggest something next month. For ranking the suggestions you do approve, the idea prioritization page shows how AI scoring against your strategic goals works.
What suggestion box software costs with Brainstormer
Brainstormer is priced per workspace, not per user. Team is $149 a month billed yearly ($1,788 a year) or $298 month to month, for up to 25 members and 3 open challenges at a time. That is enough for a single department or a small company running a standing suggestion box plus two focused challenges.
Business is $399 a month billed yearly or $798 month to month, for up to 150 members, unlimited challenges, weighted strategic goals, the board report, an admin role and a CSV of the audit trail. Enterprise is $999 a month billed yearly or $1,998 month to month for up to 1,000 members, with full workspace export and priority email support.
Yearly billing saves 50 percent on every plan. You can try the demo challenge on the homepage without creating an account, then see pricing and start your workspace by card.
Questions
What is suggestion box software?
A digital replacement for the physical suggestion box where employees submit improvement ideas and can see what happens to them. Good suggestion box software shows the status of each idea, records every decision with a reason, and reports on what was implemented.
Can employees see each other's suggestions?
Yes. Members of the workspace see the ideas submitted to a challenge and can vote on them. That visibility is what lets AI and people spot duplicates and shows reviewers which suggestions have wide support.
How do employees find out what happened to their suggestion?
They open the idea in the workspace and see its current stage and the notes left on each stage change. Rejections carry a reason in the note, so the answer is on record rather than depending on someone sending an email.
Is a suggestion box different from an employee suggestion program?
The box is the tool that collects and tracks suggestions. The program is the operating commitment around it: scope, owners, review rhythm and recognition. Brainstormer is the tool, and it is built to support a program that replies to every idea.
How many people can use it?
Team covers up to 25 members, Business up to 150 and Enterprise up to 1,000. You invite colleagues by email and assign the owner, admin or member role.
