Idea management tools, which type fits your company

Idea management tools range from a simple form and spreadsheet to enterprise innovation suites. The right one depends on how many people submit ideas, how many decisions you need to make, and whether leadership expects a ranked, reasoned shortlist. Here is where each type fits.

The five kinds of idea management tools

Most companies start with a form and a spreadsheet. Someone creates a form, answers land in a sheet, and one person reads them. It costs nothing and works while ideas arrive a few at a time. Shared documents and whiteboard tools are the second kind: excellent for a single workshop, but the ideas tend to stay on the board after the session ends.

The third kind is the task tracker your teams already use for delivery. It is the right home for an approved idea that has become a project, but it is not designed for open submissions, voting or comparing twenty proposals against strategy. The fourth kind is the enterprise innovation suite: long established platforms used by large companies, sold on annual contracts with pricing quoted on request and usually an implementation project.

The fifth kind is dedicated idea management software built for mid sized programs, which is where Brainstormer sits: a company workspace with challenges, AI evaluation, a decision pipeline and reporting, bought by card and running the same day.

When a form and a spreadsheet stop being enough

The spreadsheet breaks at a predictable point. Once more than one person reviews ideas, or more than a few dozen arrive per campaign, the work shifts from deciding to administering: reading duplicates, chasing reviewers, telling people what happened, and rebuilding the same summary for every leadership meeting.

Three signs you have reached it. Employees ask what happened to their idea and nobody knows. The same suggestion appears five times in different words. Leadership asks for the top ideas and someone spends a day ranking them by feel. Each of those is a job an idea management tool should do for you: status tracking, duplicate detection and scoring.

Brainstormer handles them directly. AI finds and merges duplicates while keeping authors and votes, scores each idea on impact, cost, risk and strategic fit with a written rationale, and every stage change is recorded. For the process design behind it, see the idea management system guide.

When an enterprise suite is the better choice

Enterprise innovation platforms such as those from long established vendors are strong where Brainstormer deliberately is not. They offer deep configuration of workflows and forms, integrations with company systems, single sign on, and implementation services with consultants who help design the program. For a very large organisation with strict IT requirements and a dedicated innovation department, that maturity is worth the annual contract and the setup project.

Choose that route if you need integrations with your existing systems, single sign on as a hard requirement, or more than 1,000 people in one program. Brainstormer does not offer SSO, an API or integrations, and it is honest to say so up front.

If those are not hard requirements, the trade off runs the other way. A suite can take months to procure and roll out. Brainstormer is self serve: you create the workspace, pay by card, invite people by email and open your first challenge. The innovation management software page compares the two approaches in more detail.

Where Brainstormer fits and what it costs

Brainstormer is built for companies from about a department up to 1,000 people who want a real idea program without an enterprise project. It covers the full loop in one tool: challenges with a deadline, employee submissions, AI expansion and scoring against your weighted strategic goals, voting, a pipeline from submitted to implemented, and a board report per challenge.

Pricing is published. Team is $149 a month billed yearly ($1,788 a year) for up to 25 members and 3 open challenges. Business is $399 a month billed yearly for up to 150 members with unlimited challenges, weighted goals, the board report and an audit trail CSV. Enterprise is $999 a month billed yearly for up to 1,000 members with full workspace export and priority email support. Month to month prices are double, since yearly billing saves 50 percent.

You can try the demo challenge on the homepage without an account, read how it works, or see pricing and start your workspace.

Questions

What are idea management tools?

Tools that help a company collect, develop, evaluate and decide on ideas from employees or teams. They range from simple forms and spreadsheets to dedicated idea management software and enterprise innovation suites.

Can we manage ideas in a spreadsheet?

Yes, while volumes are small and one person owns the process. It stops working when several reviewers are involved, duplicates pile up, people ask about the status of their ideas, and leadership wants a ranked shortlist with reasons.

Why not use our task tracker for ideas?

Task trackers are built for delivering agreed work. They do not handle open submissions, voting, duplicate merging or scoring ideas against strategy. Use them for ideas once approved, and an idea management tool for the steps before.

Does Brainstormer integrate with other tools?

No. Brainstormer has no integrations, API or SSO. You can export ideas as CSV on every plan, the audit trail as CSV on Business and above, and the full workspace on Enterprise.
